Appointment History
Appointment History is a practice management and appointment management feature that documents the actions completed on an individual appointment, such as the
- Original date and time of the appointment
- Resources involved
- Action taken and by whom (e.g., moved, deleted, de-linked, seen, canceled, etc.)
- Date and time of the modification
- Reason for the modification (if required by the system)
Users have the option of viewing appointment history from one of two locations that are discussed in the following sections.
Appointments Tab
- Navigate to either the patient or group demographic screens.
- Select a patient or group.
- Click the Appointments tab.
- Use the filtering and grouping option to locate the appropriate appointment.
- Click the History link in the appropriate appointment line item. The Appointment History for [patient x] screen will appear (or Appointment History for [group description])
- Click the Close Window button in the upper, right corner to return to the Appointments screen.
Hover your cursor over the << Multiple Resources >> option to view the segment information for the individual resources.
Scheduling Grid
- Use the Calendar to navigate to the appropriate day.
- Locate the appointment
- Right-click over any cell of the appointment. The Options menu will appear.
- Click the History link.
- Click the Close Window button in the upper, right corner to return to the grid. The Appointment History for [patient x] screen will appear.
Multisegment Appointment History
Some characteristics of multisegment appointment history of which you should be aware include the following:
- When you de-link a segment, the de-linked segment becomes its own appointment, having its own history. The first Action entry in the Appointment History screen for the “new” appointment will be “De-linked,” not “Make.”
- When you link an appointment to another appointment, the new multisegment appointment will show a Make for the first segment found in the database and a Link entry for the linking of the segments. If any of the segments other than the first had been moved, canceled and marked pending again, the history of that action will be lost in the history screen.
- Appointments that are created by copying another appointment simply show Make as the first entry.
- When distinct appointments are subsequently linked, history will show 1 Make for the first appointment it finds and a separate Link entry for each other appointment linked together.
- If you know the resources involved, look at the Changes to Schedule report for each resource to get a clearer picture of what happened to each segment of the appointment. This report will show any make, move, cancel, no-show, or delete that involves an appointment or appointment segment for the resource you choose. It also indicates other resources involved with the action, if any.
